Deposit & Cancellation Policy

At Activate Beauty Medical Spa, appointment times are reserved exclusively for each client. To ensure fairness to both our clients and our team, the following deposit policy applies:

First-Time Consultations Booked Remotely

Clients who have never visited our clinic and book their consultation online, by phone, or through social media may be required to leave a deposit to secure their appointment.

If a client chooses not to proceed before attending their consultation, the deposit may be refunded in accordance with our cancellation policy.

Deposits Left In-Clinic

Once a client has attended the clinic, received an in-person consultation, had the opportunity to assess the facility, discuss treatment options, and voluntarily leaves a deposit to reserve future treatment time, that deposit becomes non-refundable. However, the value of the deposit will remain on the client’s account as clinic credit and may be applied toward future treatments or eligible retail products.

Cancellation & Rescheduling Policy

We kindly ask that all appointment cancellations or rescheduling requests be made with at least 48 hours’ notice.

  • Appointments cancelled with 48 hours or more notice may have their deposit transferred to a future appointment.
  • Any deposit will be forfeited if the reservation is cancelled with less than 48 hours’ notice.
  • Whenever possible, we are happy to accommodate one rescheduling request and transfer the deposit to a new appointment date.
  • Failure to attend a scheduled appointment without notice (“no-show”) will result in the loss of the deposit.

Clinic Credit

Non-refundable deposits left in the clinic will remain on the client’s account as a clinic credit and may be used toward future treatments or eligible retail purchases, including professional skincare products such as SPF, vitamin C serums, facial cleansers, and other medical-grade skincare products carried by Activate Beauty Medical Spa.

Exceptions

Deposits will be refunded if:

  • Activate Beauty Medical Spa determines that the requested treatment is not suitable for the client;
  • The clinic is unable to offer an appropriate treatment option;
  • The appointment is cancelled by the clinic.

Respectful Communication

Activate Beauty Medical Spa maintains a zero-tolerance policy toward abusive, threatening, harassing, or disrespectful behaviour directed toward our staff. We reserve the right to refuse service and discontinue communication in cases of inappropriate conduct.

By booking an appointment and/or leaving a deposit, clients acknowledge that they have read, understood, and agreed to this policy.
